Human Resource Coordinator

Department: Global Human Resources

Position Reports To: Recruitment Manager

Positions Supervised: None

Location: Baltimore, Maryland

Overview:

The Human Resources Coordinator manages the HR component of the independent contractor process, coordinates the human resources knowledge management function including records and information systems requirements, new employee on boarding and staff work life and well being programs. Additionally, the Coordinator will collaborate with the Recruitment Manager to coordinate recruitment and hiring activities for both staff and proposal recruiting.

Responsibilities:

  • Develop and manage Jhpiego’s staff wellness and work-life balance programs and events
     
  • Maintain all personnel files ensuring they are up to date
     
  • Work closely with the Business Development Officers during procurements to quickly identify candidates for sub opportunities and to obtain biographical data forms, reference checks and salary verifications
     
  • Create and place employment ads for all positions including domestic, international and proposal positions
     
  • Coordinate candidate interviews
     
  • Complete reference, criminal background and credit checks and verify degrees
     
  • Register independent contractors into in-house database
     
  • Processes promotions, transfers, reclassifications, salary increases, etc. through SAP system
     
  • Coordinate orientations schedules for new staff
     
  • Process new positions and employee information into SAP system>
     
  • Coordinate domestic and international relocations for new staff
     
  • Work with Chief Administrative Officer on special HR and administrative initiatives and projects
     
  • Work with HR Generalist to process work authorizations such as H1-B visas and Green Cards
     
  • Assist Global HR Generalist with in-country registration process including gathering and preparing registration documents and DBA insurance administration
     
  • Maintain staff directory and ensure information is continuously updated
     
  • Manage HR library for Jhpiego’s Intranet (JPORTAL) and ensure that all contents are up to date
     
  • Coordinate travel for HR staff including submission of travel queries and expense reports

Qualifications and Requirements

  • BA with 3+ years human resource experience
     
  • Demonstrated skills in recruitment and staffing
     
  • Organized and results oriented
     
  • Ability to work in complex environment with multiple tasks, short deadlines and intense pressure to perform
     
  • Excellent communications, presentation and writing skills
     
  • Problem solving and decision making skills
     
  • Sensitivity to multiple cultures and work styles
     
  • Ability to work independently and effectively with all levels of employees
     
  • Exceptional communication skills at all management and support levels
     
  • Proficiency in applicant tracking system or HR database
     
  • Proficiency in MS Office 

Preferred Qualifications:

  • Understanding of international health and development
     
  • Knowledge and understanding of SAP system and processing
     
  • French or Spanish language skills
